Studio Polices, Rules & Regulations


In order to enroll in classes at EDCI children must be 2.5 years of age as of September 1st. Children younger than 2.5yrs (18 – 36 months) may register for a Sessional Program (if available).

All class placement will be based on the student’s level and current age as of September 1st. Please note: All class placement will be at the studio director’s discretion.

EDCI reserves the right to decline the re-enrollment of students with outstanding balances from previous years.

You will not be officially registered with a secured place in a class until we have received either (1) full annual tuition payment [cheque or online] or (2) first payment by cheque [along with 8 post-dated cheques] or online.

No one is permitted to “freeze” enrollment. Enrollment is for a full dance year (9 months) therefore classes and payment may not be interrupted.

In the event of a returned cheque or declined credit card, for any reason, you will be charged an administrative fee of $30. If we do not receive a payment to cover the full outstanding amount within seven days, your child will not be permitted to attend class until the account has been settled.

All outstanding balances will incur a $5 late fee if not resolved immediately.

There are no Refunds for missed classes. In the event of a missed class, students may attend another class section offered of the same level (if applicable) to do a make-up class. Missed classes must be made up the following week.

EXAMINATIONS: If your child is selected and agrees to participate in a dance examination in Ballet or any of the dance disciplines, there will be additional costs to cover the exam entry fees. Students will likely be required to take additional exam preparation classes in order to fully prepare for the exam, therefore additional exam class charges may apply. This cannot be determined up front, but will be determined by the class teacher closer to the time of the examinations.

SHOWCASE: Parents or guardians of students enrolled in all levels will need to purchase tickets to attend their child’s end-of-year production (EDCI “Showcase”). Flash photography and video recording devices or any kind (including video cell phones) are prohibited in the theatre for our students’ safety, in order to protect everyone involved. DVDs will be available for purchase if you are interested in obtaining a copy of the show.

Parents/guardians of students in higher dance levels should be aware that there may be extra costs related to the end-of-year recital (for example: character shoes, tights, etc).

There are no refunds for recital costumes once they have been ordered in December.

All outstanding balances must be paid in full before costumes / tickets will be distributed.

Parents/guardians of students enrolled in all levels should note that recital weekend is a whole family commitment, and therefore parents must ensure that their child is present at all of the required performances, therefore if a student does not participate in all performances, they will not be eligible to dance in the following performance. If you know in advance that you will not be able to participate in one or more of the shows, you will need to inform the office of this in writing by November 1st.

After February 1st students who miss 3 or more classes/rehearsals without written consent from the studio director to give to their class teachers may be withdrawn from their piece(s) of choreography in the end-of-year recitals.

EDCI tries to observe as many religious holidays as possible; however shows may fall on any day of the week, including Friday, Saturday, and Sunday. We do our best to meet everyone’s needs, but unfortunately we cannot guarantee that we will be able to accommodate all situations, as organizing the show is an extremely complicated process.

If you decide that your child is not able to participate in the end-of-year recitals for any reason and you do not inform the office on or before April 1st EDCI reserves the right to revoke pre-registration privileges for the following school year. If your child is not participating in the show, he or she may continue to attend classes until the last regular class, but may not attend any of the rehearsal classes.

In order to perform in an EDCI Dance Company/Team piece, company members accounts must be current and must complete their corresponding dance form. For example, if a student is in the EDCI Jazz Company/Team, in order to perform in this piece they must be enrolled in a Jazz class at EDCI and must complete the full dance season in that dance form.

EDCI does not give out staff phone numbers. If you need to speak to an instructor, please call the studio and we will be happy to pass your contact number on to them.

Teachers are not available to speak with parents between classes. Please schedule an appointment time through the front desk.

EDCI does not for any reason pass out class lists or provide information about any of our students to any parent or third party.

EDCI reserves the right to cancel or condense, any class that does not meet the minimum enrollment numbers, or has fewer than six students in the class.

EDCI reserves the right to cancel any class due poor weather conditions. “Missed class” policies will apply in this circumstance. Make-up classes will only be scheduled in the event that EDCI cancels any class for reasons other than weather conditions.


If a student chooses to withdraw from a class after we have received and processed your registration and payment, you must complete a Class Cancellation Form. Your completed Class Cancellation Form must be time-stamped by one of our staff members at the front desk. The cancellation process requires 30 days written notice of your intentions to withdraw, and this must be done at least 5 business days before the next payment date, or else you will be billed as usual on the 1st of the following month.

The $25 registration fee is completely non-refundable.

It is not acceptable to leave a message on the phone, to tell us verbally, or to e-mail us your intention to withdraw. Unless you complete a Class Cancellation Form and pay your outstanding account balance (if applicable) your account will be charged and your postdated cheque(s) will be cashed. It is your responsibility to contact the school if it is your intention to withdraw.

If we do not receive a Class Cancellation Form, all payments will continue to be processed and are non-refundable.

If you withdraw and you have provided the required Class Cancellation Form we will then return any post-dated cheques beyond the 30-day notification period.

If you paid for the year in one installment, all of the above policies apply in regards to withdrawal dates and your refund will be issued accordingly (beyond the 30-day notification period).

After November 1st no prorated refunds will be issued, except for withdrawals due to injury. If your child needs to be withdrawn from a program because of an injury, please provide the school with a doctor’s note so that we may issue an appropriate prorated refund. In the event of withdrawal, when it is too late to receive a refund, the unused fees are non-transferable to another student.

If you choose to switch programs/classes after October 15th a $20 administrative fee will be charged per class changed.

In order to be completely registered at EDCI, you must sign the waiver attached to your Registration Form, as well as sign the policies, rules and regulations form on the next page of this package, indicating that you have read, understood, and agree to terms and conditions as outlined in the Registration Procedures, the Studio Policies, Rules and Regulations, and the Withdrawal Policy forms.

Rules and Regulations

  • Please be advised, Expressions Dance Centre is a nut-free zone therefore we ask that no peanut or tree nut products be brought into the facility at any time.  This includes peanut butter sandwiches, chocolate bars, etc.
  • No gum in the facility.
  • Food and drinks should not be brought into the change room or the dance studio at any time. Students may bring a plastic water bottle with a secured lid and labelled with student name, into the studio to leave at the side of the room. No dance bags in the studio please, with the exception of combo classes, which may bring a small bag to place neatly in a cubby.
  • No street shoes should be worn in the studio at any time. If you forget your dance shoes you may participate in bare feet (at the class teacher’s discretion).
  • Anyone found defacing the property in any way will be dismissed from the studio.
  • Please keep the changing facilities and washrooms clean and tidy at all times.
  • Students will be expected to display appropriate dance etiquette in and out of the classroom. Students will show respect for all teachers, staff members, parents, classmates and all other students at all times.
  • Class uniforms are required at all times and are mandatory for class participation at every class. Please see our Uniform Requirements Brochure for more information or speak to us if you are uncertain as to what your class will require.
  • Hair should be neat and tidy, with bangs and loose hair swept off the face. Students who do not come in proper uniform with the appropriate hair style may be asked to leave the studio and return to class when they are ready to dance with the appropriate attire & hair (bun for ballet/modern classes, ponytail etc.).
  • Fees paid for class instruction, do not include the cost of uniforms or Showcase costumes. Additional costs related to competition include rehearsals, entrance fees, costuming/accessories, travel expenses and workshop/convention fees; these are not covered by the studio. Competitive costs may be subsidized by team fundraising efforts.
  • For safety reasons, students are not allowed to wear necklaces, earrings, bracelets/anklets or eye glasses during class. Please speak to us if you have any concerns regarding this matter. A waiver form is available for those who will require the use of their glasses for vision purposes, in order to participate.
  • Students are responsible for changing in and out of their dance attire before, after or in between classes. Parents are responsible for assisting with their children who may need extra help changing. Students are encouraged to arrive for dance class already in uniform.
  • Students are encouraged to use the washroom before class to ensure they will not miss valuable class instruction. Parents are responsible for taking their younger children to the washroom before class (or during class if necessary).
  • Students are not allowed in the dance studio without a teacher present.
  • We encourage students to be present at all classes, however if you are going to be absent, please notify the studio ahead of time whenever possible.       If students are absent due to illness, please call to notify us prior to the class start time.
  • The studio is not responsible for missed notices due to absences.  Please contact the front desk for any missed information.
  • Students may use a dance bag to transport their belongings to and from class.  However, Expressions Dance Centre Inc. is not responsible for lost or stolen articles therefore we encourage you to leave your valuables at home.
  • Parents must notify the studio of any allergies or medical conditions affecting their child, and/or notify the studio of any changes to their condition.
  • Please have children arrive for class on time to ensure they do not miss valuable instruction. If a student arrives more than 10 minutes late to any class, they will not be allowed to participate however they may be allowed to sit and observe the class at the teacher’s discretion.
  • All students should be picked up promptly after class. If students have not been picked up 10 minutes after the class end time, late fees will be applied and will accumulate. These fees are double at the studio closing times.        
  • If parents wish to speak to the teachers directly, arrangements can be made through the front desk – teachers are not available between classes.
  • Parents are required to wait in the designated waiting area at all times.  Observation opportunities will be scheduled for parents throughout the year.
